information
With the groups function you can create permanent groups, which has a number of advantages.
- Group chat
- Audio conference
- Video conference
- Online meetings resp. Web meeting with screen sharing
Create a group
Create a new group using the + symbol.
Enter a name for the group in the settings window and add the participants. When allowing guests, you allow external guests to join the group via a public link or dial-in number.
Then click on the red floppy disk at the top right to save.
Manage group
To manage a group, click on the relevant group in the contact list. A small information symbol appears in the content area in the upper section. This is where you make changes to the group. If you do not want any more notifications, you can mute the group using the loudspeaker symbol. You can also make groups public by allowing guest access.
Add or remove participants
To add participants, click on the menu item Add participants and select new participants from a list.
You can use the red trash can next to the participants to remove them from the group.
Public group
As already mentioned, a group can allow external guests who can then participate in the conference either by phone or via web browser. As soon as this slider is activated, new information appears about the created group, which you can make available to your guests for the purpose of dialing in.
Fields | description |
Dial-in number | Participants can join the conference / web meeting by phone via the web client by dialing the dial-in number. |
pin code | The PIN is required to participate in the conference via the dial-in number. |
Url | Link to the group in the web client. |
Copy to clipboard | Copy all details clearly to the clipboard. Share all important data with external participants. |
Favor groups
This step is not strictly necessary, but we recommend adding your new group to the favorites list by clicking the star icon next to the group entry in the contact list. With favorites, you make sure that the items are always listed at the top of the contact list. In the case of groups, this makes the group more visible and easier to find.
Identify active meetings
In addition, the group in the contact list turns green as soon as there are participants in it for telephony or video conferences.
When a new chat message arrives, the group jumps to the top of the contact list and a new message icon appears.
Start the collaboration
Now that you've finished setting up your pascom group, it's time to see what team collaboration tools are available to you.
Team messaging
The first tool that is immediately available to all internal group members is Team Messaging. All you have to do is enter your message in the chat field, just like you would in a normal chat / instant message.
As mentioned earlier, when there are new messages, the item will jump up in the contact list and a new message counter will appear on both the group and your profile picture.
Audio conferencing
Starting an audio conference is relatively easy. All you have to do is click the green phone icon click next to the corresponding group to dial into it.
Alternatively, if you are actively using the group for a brainstorming session, you can simply click the phone icon next to the chat field or under the softphone keypad to call the group - using the keypad requires a double click: one click loads the Group number, the second calls the group.
As soon as the call is active, the group in the contact list will be colored green for both you and other internal group members to inform them that a conference is taking place. If you open the group from within the client, you can immediately see who is already active in the conference.
Upgrade to a video conference
Video should be your first choice right now when collaborating with colleagues. The visual aspect is hugely important these days, as working from home inevitably restricts personal contacts.
To start a video call, simply click the Start Video button located in the phone area and a video conference will start.
Of course, it is advisable to check that your web camera is configured correctly before starting the video conference. This can be done in the client settings menu as shown here:
More insightful meetings with screen sharing
Some topics are too complex to explain in words. What is really needed is the visual aspect of the communication. While you can read the facial expressions and body language of the participants thanks to the video function, the screen sharing * goes even further and enables the moderators to give virtual presentations, explain complex topics and carry out product demonstrations online.
If you are already in a video conference, screen sharing is done through the conference control menu. Click on the laptop symbol in the menu to start screen sharing.
If you only have one monitor, this screen is automatically shared. However, if you are using multiple monitors, you can choose which screen to split, as shown here:
If you are in an audio conference, simply click the Share Screen button to share your screen:
* Mobile users can currently only participate in screen sharing sessions, but cannot share their screen
File sharing in the group
What also works in individual chat becomes really interesting in group chat. You can now share files easily by pressing the red paper clip in the current chat conversation and selecting a file that you want to send.
Files, images and documents that you share with other users in the pascom client are clearly displayed in the chat history. This gives you full control over the file transfer.
- Documents and files are displayed as follows during transfer:
- You can easily download the file using the download icon. Use the trash icon to delete the file. The chat window will still show that this file has been removed.
- Images that you share in the pascom client are displayed as a preview in the chat window.
Useful information on file transfer
question | answer |
---|---|
Where can I find my downloaded images and files? | In the download folder of the operating system |
How big can my files be? | Maximum 100 MB in size |
Why don't pictures have the original resolution? | The images are compressed to speed up the transfer. If you want to send an image in its original size, send a ZIP with the image it contains. |
Why do transparent PNG images have a black background? | Because of the compression, but as a download on the target system, this will no longer be the case. |
